The opportunity

 

Our USGO Great Lakes – Blue Lake team is evolving to meet the needs of our growing business and we are expanding our presence in Mancelona, Michigan.

 

We are seeking a skilled Administrative Assistant who will be responsible for providing administrative support to the Regional Operations Manager and the employees reporting to the manager. This position will aid with office related matters and help coordinate the department's administrative needs to include general support, ordering and tracking of materials, assistance with the operations and maintenance budgets, expenses, and forecasting activities across multiple lines of business.

 

The successful candidate must be an efficient time manager, capable of working with minimal supervision, who possesses effective problem solving, organizational and written and verbal communication skills.

 

What you’ll do

 

  • Manage requests such as employee status changes, new hires and other personnel changes using SAP, ServiceNow, etc.
  • Handle and process invoices to include verification of accuracy/validity, requesting approval, coding and submitting
  • Support management of department budget by compiling reports and assisting with forecasting activities
  • Analyze data (financial reporting, variances to budget, etc.)
  • Provide guidance/assistance to team members on company programs and processes such as time reporting, expense reporting, and training
  • Perform administrative support functions to other Managers and staff such as: scheduling appointments, meetings, conferences, and setting up meeting rooms
  • Act as department liaison and handle complaints and inquiries
  • Research and respond to requests or refer complaints to appropriate staff when warranted
  • Managing fleet (vehicles) via ARI database
  • Receive and screen visitors and/or telephone calls
  • Provide general and specialized information regarding departmental support functions
  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner
  • Review and respond to internal and external communications while maintaining appropriate confidentiality
  • Manage office equipment, custodial services/workspace issues and coordinate incoming and outgoing mail/shipping
  • Maintain the records filing system in accordance with company standards
  • Assemble weekly management reports
  • Prepare meeting agendas and take meeting minutes as requested
  • Prepare documents and PowerPoint presentations
  • Manage calendar and coordinate travel arrangements
  • Other tasks as required

 

Minimum Qualifications

 

  • High school diploma or equivalent
  • Six or more years of related experience
  • Advanced computer skills including Microsoft Excel, Outlook, PowerPoint and Word
  • Demonstrated budgeting and forecasting experience
  • Proven scheduling and time management skills

 

Preferred Qualifications

 

  • Associates degree in administration, business or a related program
  • Solid understanding of TC Energy's structure, business interests and key stakeholders
  • Working knowledge of SAP
  • Experience dealing with senior management in a dynamic environment

 

This position requires candidates to

 

  • Travel to other company locations for temporary assignments, meetings or training which would involve some overnight stays away from home
